Contract Lifecycle

OPRE needs a way to track the different stages of their planning process and contract lifecycle. This includes tracking budget/financial aspects, as well as research/project related aspects, in addition to keeping an eye on timelines for each fiscal year and any funding requirements. In OPS, tracking the status of their budget and projects will be accomplished through a budget line status which shows the current state of their money and how it's being used.

Service Blueprint

In order to build a shared understanding of this process, the OPS team created a service blueprint to visualize the various steps as they relate to each status. At each point in the process, the blueprint describes:

  • an overview or high-level description of the tasks and activities
  • what's happening at an organizational level at OPRE
  • what users will do at an application-level inside the system (OPS)
  • who is involved at each step and what their responsibilities are

In the future, the development team plans to use this service blueprint as a foundation to assess the user experience, and to identify pain points and bright spots in how OPRE staff experience each step. The service blueprint will then be updated to layer in usability outcomes and quotes from OPRE Division Directors, Team Leaders, CORs and other users. This will help the development team to identify what parts of the process could be improved or modified to make tracking OPRE's planning easier and more intuitive.
